For homeowners organizing recurring care

Keep household maintenance on a schedule you can return to

Organize recurring filter changes, appliance care and seasonal checks by household asset. Keep the last completed task and the next reminder together instead of starting a new list each season.

An easy place to keep what happened, what it cost and what needs attention next.

Create and manage · step by step

How to create and manage your home maintenance records

Start with one appliance, save the work you have actually done, then plan the next task separately. You can use the forms directly or ask Guardian to propose changes for your approval.

Create your home maintenance record

  1. Add an asset you can identify later

In Add New Asset, enter a specific Name such as Home furnace, choose Equipment as the Category and enter its Location. Use Description for identifying details. A template can pre-fill planning values, but check those values against the equipment instructions. Review the form and choose Add Asset.

  2. Save completed work against that asset

Open the asset and choose Schedule Maintenance. In Add Maintenance Activity, enter an Activity Name, describe the work and parts in Description, and set Start Date and End Date to the actual work dates. Select Completed for work already done, leave Repeat at Does not repeat and check Cost per Occurrence before choosing Add Activity. Include details such as the filter size so the next replacement is easier to identify.

  3. Create the next planned task separately

Choose Schedule Maintenance again and enter the next task with a future Start Date and Planned status. For repeated tasks, choose Monthly, Quarterly or Yearly in Repeat and set End Date to the last date to repeat through. Review Schedule Preview, then use the create button showing the number of activities to save. Each occurrence is saved separately. Choose intervals from the manufacturer's instructions or qualified service advice, not from an assumption that HouseFlow has inspected the appliance.

Manage upcoming work and saved home history

  1. Review and update maintenance as work happens

Open the asset's Maintenance tab to review activities and dates. A planned activity offers Start; once it is in progress, Complete records that the work is finished. Use the activity's edit control and Save to correct its description, dates or cost. A due date or reminder alone does not mean the task was completed.

  2. Keep costs from being counted twice

A completed maintenance activity with a cost contributes to maintenance costs. Use Add Cost for a separate expense not already included there: enter Amount ($), Date, Category and Description, leave Recurring Type at None for a one-off expense and choose Add Cost. Review the Costs tab before entering the same bill again.

  3. Ask Guardian, review changes, then check the saved result

Open Guardian and ask, for example, When did I last change the home furnace filter, and what size was it? Answers depend on the history you entered. For a new record or reminder, name the asset and supply the date, work and next task. Review every proposed action, correct or reject anything wrong, then choose Approve & commit only when ready to save. Check the asset afterwards rather than treating a chat message as proof of saved work.

HouseFlow organizes information supplied by you; it does not inspect appliances or choose safe maintenance intervals. Records belong to your individual account, not a shared household workspace.

What HouseFlow helps you keep track of

01Create distinct records for the furnace, water heater and other household equipment you maintain.
02Set recurring reminders using the service intervals you choose for each asset.
03Record when a task was actually completed, not just when it was planned.
04Keep filter sizes, parts changed and service notes with the equipment they describe.
05Retrieve upcoming maintenance and the last recorded work before planning your next weekend of home care.
The everyday friction

The problem is rarely the work. It’s losing the thread.

A small, useful record makes it easier to pick things up again when the day gets busy or the person changes.

  • A calendar says to change a filter, but not which size you bought last time.
  • Seasonal tasks get copied to a new list without the date they were last completed.
  • A service visit is finished, but the next reminder never gets recorded.
  • Appliance care instructions and completed maintenance notes live in different places.
Say what happened · ask what happened

A few things you can ask Guardian

Home furnace filter changed today. Used a 16 x 25 x 1 filter. Remind me again in 3 months.
What household maintenance is coming due next month?
When did I last clean the dishwasher filter?
The water heater was serviced today; record the technician's notes and remind me in 12 months.
For owners & employees

Your team does the work. Keep the history.

Build a household maintenance history that connects what you finished with what needs attention next. Records stay in your individual account; this is not a shared household workspace.

Illustrative household note: “Furnace filter changed today; the size is 16 x 25 x 1.”

Whether you did the work or a service provider reported it, enter the details through your own account. Review Guardian's proposed asset, task and reminder before choosing to save.

Questions owners ask

A few practical answers

How do I organize recurring home maintenance in HouseFlow?

Start with a separate asset for equipment such as your furnace or water heater. Record completed work and request a recurring reminder using an interval appropriate to that equipment. Review the proposed details before saving.

Does HouseFlow choose safe maintenance intervals for my appliances?

Use the manufacturer's instructions and qualified service advice to choose intervals. HouseFlow helps organize the tasks and reminders you provide; it does not inspect equipment or replace professional maintenance guidance.

Can I find both the last filter change and what is coming due?

Yes. Ask Guardian about the completed work or upcoming reminders recorded in your account. Include the equipment name so similar appliances are not confused. A reminder is not evidence that the work was completed.

Can another household member use a separate login to see my maintenance?

Not currently. Records belong to an individual account, and separate accounts do not share records. Future team access is not currently available; there are no household invitations or shared permissions today.

Keep the next repair from becoming a mystery.

Start with the assets you care for. Add a note when something happens, then ask Guardian when you need the history.
