Equipment Maintenance Checklist: A Practical Template by Asset Type
Copy-ready checklists for HVAC, vehicles, and small equipment, plus how to turn any checklist into recurring scheduled work.

A good maintenance checklist is short enough to finish and specific enough to matter. These three templates cover the asset types most homes and small businesses own. Copy the ones that apply, adjust intervals to your manufacturer's instructions, and put them on a schedule.
HVAC and heating equipment
- Replace or clean filters every 1 to 3 months, depending on the filter and season.
- Professional furnace or heat pump service once a year, booked before the heating season.
- Check that vents and outdoor units are clear of debris, snow, and storage.
- Test the thermostat and carbon monoxide detector at each season change.
- Listen for new noises; record them in the asset's history while the detail is fresh.
Vehicles
- Oil change at the interval in the owner's manual, not the windshield sticker if they disagree.
- Tire rotation and pressure check; seasonal tire swap where winters require it.
- Battery test before winter; cold weather exposes weak batteries.
- Washer fluid, wipers, and lights at each season change.
- Insurance, registration, and inspection renewals recorded with their dates.
Small equipment and tools
- Record the hour reading or date at each service so intervals are based on fact.
- Change oil, filters, and belts per the manual; note parts used in the service record.
- Inspect cords, guards, and safety features before each season of heavy use.
- Clean and dry equipment before storage; moisture destroys more tools than use does.
Turning a checklist into a schedule
A checklist on paper gets done once. The same list becomes reliable when each item is a recurring activity on the asset it belongs to. In HouseFlow's preventive maintenance scheduling, you set the interval once ("furnace filter every 3 months") and each visit is saved as its own occurrence, so completing April's filter change never disturbs the rest of the year. Overdue work shows up in one place instead of in a failure.

Checklist FAQ
Where do I find the right intervals for my equipment?
The manufacturer's manual first, then your service provider's advice. Intervals vary by model and usage, and you choose what is safe. HouseFlow keeps whatever schedule you set; it does not decide intervals for you.
How do I keep staff following the checklist?
Assign the work as scheduled activities rather than handing over a laminated list. When completing an item is how the record gets made, the checklist maintains itself.
Schedule your first checklist
Open HouseFlow.ca and dictate your checklist: "Furnace filter every 3 months. Vehicle oil change every 6 months." Review the proposed schedule and it is running.
